The companies of the Körber Group ("Körber" or "we") take the protection of your personal data very seriously. We treat your personal data confidentially and in accordance with the provisions of data protection laws.

This data protection statement informs you about the processing of your data in connection with an application for employment with a company of the Körber Group, including the processing of data in our career portal and within the scope of our recommendation program. In all other respects, the general data protection statement that you will find on the website of the respective company for the Körber Group will apply.

1. Type, scope and purpose of data processing in the application process

1.1 Advertisement in online portals; use of job exchanges and career platforms

We point out vacancies with advertisements in print and online media. We also use online portals such as job exchanges and career networks (e.g. Xing or LinkedIn), where the usual techniques for usage analysis can be applied when visiting the Internet. The respective operator of the online portal is responsible for the associated data processing; for further information, please refer to their privacy policy.

We also use the job exchanges and career networks within the framework provided by the respective operator to research and approach potential applicants. The legal basis for this is our legitimate interest in efficient personnel recruitment (Art. 6 paragraph 1 letter f GDPR).

1.2 Advertisement on the Körber AG website

You can also find our job ads in the Careers section of the Körber AG website. The general data protection declaration at www.koerber.com/en/privacy-policy applies to data processing when using our website, which describes in particular the use of cookies and the associated data processing. If you apply via our career portal, this data protection declaration for applicants also applies to the use of the portal (refer to section 1.3).

1.3 Visiting our career portal - usage analysis and cookies

Our career portal at https://jobs.koerber.com is part of our website (koerber.com). The information in sections 4-7 of our general data protection declaration at www.koerber.com/en/privacy-policy on usage analysis and the use of cookies also applies to visits to our career portal. In particular, when you visit our website, we will ask you for your consent to a usage analysis for marketing purposes and website optimization and to the use of cookies in this regard. You can revoke your consent at any time; information on this can be found at the point mentioned in our general data protection declaration at www.koerber.com/en/privacy-policy (reference points 4 and 5).

When you visit the career portal, in addition to the cookies mentioned in section 5 of the general data protection declaration, only cookies necessary for the operation of the career portal pages are used. 

1.4 Registration in the Career Portal; Creating an Application Profile

You can create an application profile to use our career portal at jobs.koerber.com for applications. In this case, we ask you to provide us with the personal information specified in the registration form (first name, last name and e-mail address, country). Mandatory information is marked with an asterisk. By registering and ticking the appropriate box, you accept the terms of use for the career portal.

To secure your profile, we ask you to enter a password. For your security, the password must meet minimum complexity requirements, which will be explained when you fill out the form. If you have forgotten your password, you can have a new password sent to an e-mail address you specify by clicking the "Submit" field in the login area under "Forgot your password? You will be asked to enter a new password the next time you log in.

After registering, you can add further details to your profile under "Candidate profile/Profile information" (in particular salutation, title and address). You can edit this information at any time. Your profile also allows you to create, save as a draft, update and submit applications for open positions and to view the submitted applications and their status; refer to section 1.5.

Your profile information, including the applications you have created, is processed by us in order to provide and manage your user account and to give you the opportunity to use the information you have deposited for applications via our career portal. The legal basis of the processing is the implementation of the user agreement for our career portal (Art. 6 para. 1 letter b EU Data Protection Basic Regulation (GDPR)).

You can delete your user account at any time by logging in and selecting the menu item "Options" as well as the menu sub-item "Settings". Under the menu sub-point "Settings" you will find the button "Delete profile", by clicking on it your profile will be deleted. In this case, your data, including applications that have not yet been submitted, will be deleted.

1.5 Submitting an application

If you decide to apply via our career portal, we will ask you for further information that is necessary or useful for the application process, in addition to the information mentioned in section 1.4 (name, title, address). This includes, in particular, information listed below:

  • Your educational path,
  • Your professional experience,
  • Your expectations and interests in relation to your job (for example, salary expectations, level of employment, willingness to travel and relocate, desired work area and career level),
  • Your qualifications (for example, experience abroad, further education and training, driver's licenses, IT and language skills),
  • Additional documents can be added - such as certificates and references - to your application in electronic form. To do this, use the upload function under "My Documents" in the Career Portal,
  • You can also submit your application for a company of the Körber Group without using our career portal by sending your documents via email to the Human Resources department of the company of the Körber Group that is posting the job ad. Further processing of the application will be governed by this Data Protection Declaration for Applicants, regardless of the contact method you choose.

If you submit an application, the above information will be processed by the company to which you apply solely for the purposes of the application process. The legal basis in the case of an application for employment under German law is § 26 paragraph 1 sentence 1 of the Federal Data Protection Act (BDSG). For applications for employment relationships which are subject to the laws of other member states of the GDPR, the legal basis for processing is the implementation of pre-contractual measures at your request in accordance with Art. 6 Paragraph 1 Letter b DSGVO or data processing in the employment context in accordance with Art. 88 GDPR in conjunction with any existing member state legislation. If your application is successful and we enter into an employment relationship with you, your application data will be added to your personal file and stored for the purpose of carrying out the employment relationship on the basis of the legal basis mentioned.

In the event of an unsuccessful application, we will delete the associated data 180 days after the application process  has been completed (unless you agree to be included in the applicant pool, see section 1.6 and section 3).

Furthermore, in order to optimize our recruiting process, we would ask you to state how you found out about our job advertisement. The legal basis for this is our legitimate interest in optimizing the advertising for our job ads and the recruiting process (Art. 6 Paragraph 1 Letter f GDPR).

1.6 Release of the profile for inclusion in the applicant pool

If you are interested, not only in specific job advertisements but in job ads of the Körber Group in general, you can release your profile for review by our recruiting department after entering your data (see Sections 1.4 and 1.5). To do this, click on "Candidate profile / Search options and data protection" and give the necessary consent by placing a check mark. This will enable us to pass on your data to certain recruiting employees and regions selected by you. You will then be notified by us as soon as we have a suitable job opening that fits your profile.

Körber AG is the responsible body for the applicant pool. The legal basis for data processing is the consent you have given us (Art. 6 Para. 1 Letter a GDPR). You can revoke your consent at any time by sending a message to Körber AG by e-mail or by post (see the contact details under point 7). In this case you will no longer receive any job recommendations. The same applies if you delete your profile.

1.7 Recommendation program

As part of the recommendation program established within the Körber Group, employees can recommend friends, acquaintances and family members for a vacant position within the Körber Group. For this purpose, our employees forward a job advertisement to friends, acquaintances and family members. The name and e-mail address of the potential applicant are processed in the career portal. In the event of an application, this is done so that it can be tracked that the applicant has become aware of the position within the recommendation program. The legal basis for the data processing is art. 6 paragraph 1 letter f. GDPR and the legitimate interest of the advertising company in filling the advertised position with the best possible candidate.

After the job advertisements have been forwarded by the recommending Körber employee, the potential applicant will receive another e-mail with a link to the job advertisement. If this link is not used by the potential applicant within 24 hours, his or her data is automatically deleted. If an application is received, the deletion periods listed under point 3 apply.

2. Transmission to third parties and to countries outside the EU

The data of your profile in the career portal will be processed by Körber AG exclusively for the purpose of implementing the user agreement and - with the exception of the cases expressly mentioned in this data protection declaration - will not be passed on to third parties.

If you submit an application (see section 1.5), the company of the Körber Group to which you apply will receive your application. Applications can be processed by the Recruiting Center at Körber AG on behalf of the companies of the Körber Group. Körber AG acts as a processor for the responsible company and processes the data exclusively in accordance with instructions for the purpose of carrying out and supporting the application process.

As a service provider and contract processor, we use SAP with the SAP SuccessFactors solution for the application process.
If you apply to a company of the Körber Group that is located outside the EEA, your data will be transferred to this company in order to carry out the application process initiated by you. Otherwise, the data will only be transferred to recipients outside the EU if it is ensured that the recipient of the data guarantees an adequate level of data protection and that there are no other interests worthy of protection against the data transfer.

3. Deletion

We delete your personal data as soon as they are no longer required for the purposes pursued with the collection and processing and as long as there are no legal storage obligations to the contrary.

Applicants' data will be automatically deleted after 180 days following the conclusion of the application process, unless the applicant actively agrees to the continuation of processing and use by the Körber Group for a further 180 days. In addition to this automatically scheduled deletion, the applicant profile can be deleted independently at any time (see above under 1.4). In this case your personal data will be deleted immediately.

4. Data security

Körber has taken the necessary technical and organizational measures to protect the personal data you provide against loss, destruction, manipulation and unauthorized access. Körber employees and all persons involved in data processing are obliged to comply with data protection laws and to handle personal data confidentially. Our employees are trained accordingly. Both internal and external audits ensure compliance with all data protection-relevant processes at Körber.

5. Your rights regarding personal data

The data protection law grants you a number of rights, in regards to data, concerning your personal information (so-called data subject rights). In general, these are the right to request information about the personal data we have stored about you, as well as the right to correct, delete or restrict the processing of this data. Whether and to what extent these rights apply in individual cases and what conditions apply is determined by the EU Basic Data Protection Regulation.

In addition, in the event of processing on the basis of Art. 6 para. 1 lit. e or f GDPR, you may object (Art. 21 GDPR). We will then only process your personal data if there are compelling reasons for doing so and your interests do not outweigh our own.

In addition, the EU basic data protection regulation grants you a fundamental right to data transferability (Art. 20 DSGVO).

Whether and to what extent these rights exist, in individual cases and under what conditions they apply, is legally defined in the named standards. If you have given your consent to the processing of your personal data, you can revoke this consent at any time with effective date for the future. You also have the right to complain to the competent data protection supervisory authority.

However, if you have any questions or complaints regarding data protection at Körber, we recommend that you first contact the responsible data protection officer (see Item 8).

6. No automated individual decision

Unless this is exceptionally necessary for the conclusion of a contract or permitted by law (as in the case of age verification), we do not use your personal data for automated individual decisions.

Körber AG is responsible under data protection law for the processing of user data when visiting the career portal (see Item 1.3) and within the framework of the administration of user profiles (see Item 1.4) as well as for the applicant pool (see Item 1.7):

9. Change of the privacy policy

New legal requirements, business decisions or technical developments may require changes to our privacy policy. The privacy policy will then be adjusted accordingly. The link in the terms of use for the career portal always leads to the current data protection declaration for applicants.
